Toastmasters Meeting Planner FAQ

Who should use a Toastmasters meeting planner?

The Toastmaster of the Day, Vice President Education, President, or meeting manager can use it to assign roles, balance the agenda, and confirm that prepared speeches, evaluations, Table Topics, and functionary roles are covered.

How early should Toastmasters roles be assigned?

Most clubs assign roles several days before the meeting so speakers and evaluators can prepare. The planner can still be used on meeting day to fill gaps and copy a final roster.

Can this planner work for online and hybrid Toastmasters meetings?

Yes. Use the same role structure for online, hybrid, and in-person meetings. Add notes for Zoom master, screen sharing, ballot collection, or backup speakers when your club needs them.

What should I do if a speaker cancels?

Move an available member into the prepared speech slot, add more Table Topics time, or ask the Toastmaster of the Day to adjust the agenda. Keep evaluators matched to any replacement speakers.
