This sheet helps a club collect role choices and backups in the browser. It does not replace the current club agenda, officer briefing, Toastmasters governing documents, role instructions, or an authorized officer’s assignment. Toastmasters notes that roles and responsibilities may vary by club, so confirm the local process before treating a row as required.
Before you share the sheet
Collect roles with a five-step handoff
- 1Start with the current agenda: Ask the VPE, presiding officer, or Toastmaster which segments and role owners the club expects for this meeting; local routines can differ.
- 2Invite choices, not pressure: Offer a role, backup, observe-only option, or decline path. Confirm pronunciation, access needs, online participation, and any role-specific preparation before marking a person confirmed.
- 3Match preparation to the role: Give speakers and evaluators their project or objective context; give the Topicsmaster prompts and timing; give the General Evaluator the evaluation-team handoff.
- 4Close gaps with owners: Review open, requested, and backup-needed rows several days before the meeting. Name who will follow up rather than exposing private contact details in the sheet.
- 5Publish the smallest useful roster: Copy only the role, confirmed member, backup, status, and preparation note the meeting team needs. Delete or clear the sheet after the meeting when the club no longer needs it.
Role-quality checks
Make each assignment usable
Speaker: include the title, project or objective, delivery time, and evaluator handoff only when the speaker has provided them.
Evaluator: connect the evaluator to the speaker’s goal and current evaluation resource; do not ask for a private biography.
Functionary: list the signal, report, or preparation note the club actually uses, with a backup for a role that would interrupt the meeting if vacant.
Owner: mark requested versus confirmed honestly, and give one person responsibility for closing each open gap.
