What the VPE owns
The Vice President Education is the club’s education manager. In practice, that means scheduling speeches, keeping track of Pathways progress, supporting evaluators, and making sure members understand the next step in their learning journey.
Many clubs also treat the VPE as the Base Camp manager because the role is the natural bridge between speeches delivered in the room and progress recorded in Toastmasters systems.
A workflow that keeps the role manageable
The easiest way to run the role is to work backward from upcoming meetings. Confirm who is speaking, who is evaluating, what project each speaker is on, and whether any member needs help finishing a Pathways level.
- -Keep a speech queue for the next two to four meetings.
- -Track project names, time limits, and evaluator assignments.
- -Confirm level completions and award submissions promptly.
- -Help members choose the next project instead of leaving Pathways decisions to the last minute.
- -Coordinate with the President and Secretary when records need to be updated.
Tools that matter most
The VPE is most effective when using a simple tracker rather than a complicated system. A shared sheet or checklist for speeches, evaluations, mentors, and level completions is often enough.
If the club is healthy, the VPE is not only scheduling speeches. The role also keeps members engaged by making sure every meeting gives people a clear path to the next project, the next role, or the next achievement.
What to do in the first 30 days
Audit the current Pathways progress, check which members are close to a completion, and review the next two months of speaking slots. Then make sure your agenda and evaluator assignments are already lined up before the meeting starts.
