Send the follow-up while the meeting is still fresh
A Toastmasters guest follow-up email works best when it arrives within 24 hours of the meeting. The goal is not to pressure the guest. The goal is to thank them, answer the next obvious question, and make it easy to visit again or ask about membership.
For many clubs, this is the highest-leverage membership habit. Guests often leave interested but unsure what happens next. A clear follow-up turns a pleasant visit into a real next step.
What the email should include
Keep the email short and useful. A guest does not need the full history of the club. They need to know that their visit was appreciated, what they can do next, and who will answer questions.
- -A personal thank-you with the guest name if possible.
- -One sentence about what they experienced in the meeting.
- -The next meeting date, time, format, and link or address.
- -A simple invitation to return as a guest.
- -A membership next step for guests who are ready to join.
- -One officer contact, usually the Vice President Membership.

Subject: Thank you for visiting [Club Name]
Hi [Guest Name], thank you for visiting [Club Name] today. We enjoyed having you at the meeting and hope the prepared speeches, Table Topics, and evaluations gave you a useful picture of how Toastmasters works.
Our next meeting is [date and time] at [location or meeting link]. You are welcome to visit again as a guest. If you would like to know more about joining, I can send the membership steps and answer any questions.
Best, [Your Name], Vice President Membership, [Club Name]
Follow-up sequence for VPMs
One email is good. A simple follow-up sequence is better. The Vice President Membership should track whether the guest received a thank-you, whether they were invited back, and whether they asked about joining.
- -Same day or next day: thank the guest and invite them back.
- -Three to five days later: answer a useful question or share the next meeting reminder.
- -After the second visit: explain membership steps if the guest is interested.
- -End of month: review guest conversion with the officer team.
Mistakes that reduce guest conversion
Avoid sending a cold, generic message that feels like a mailing list blast. Avoid asking for a membership decision before the guest understands the club. Avoid burying the next meeting details where they are hard to find.
The strongest follow-up emails sound human, make the next step obvious, and respect the guest’s pace.
